Organization Dashboard

Update June 2024

Welcome to the new Organization Dashboard - we're so excited to share this update with you! Now, it's easier for you to onboard teachers, monitor their access, and manage your account.

If you purchase a Classroomscreen Organization account or activate an Admin invitation provided to you by the Owner of an Organization account, you'll notice a new 'Organization dashboard' tab appear in your dashboard.

You don't have to have a Pro license to be an Owner or Admin but you can issue yourself a license if you would like to have access to the features of a Pro account.

Home

When you click on the 'Organization dashboard' button, you will be directed to the 'Home' tab of the 'Organization dashboard' where you can see an overview of the account details.

Here, the name of the account, the email address of its Owner, and the plan details are provided. Based on the payment, the 'Status' of an account can be identified as 'Active', 'Unpaid', or 'Canceled'. To manage some account details, click on the purple 'Plan and billing details' link and you'll be directed to the 'Plan and billing' page (which is also accessible via the toolbar).

Owner & Admins

This section lists the email addresses of the Owner and any Admins who are managing the Organization account. Each Admin invited to manage the account will be listed below the Owner. If the email address is identified with a status of 'Admin' then the invitation has been received and activated. If you otherwise see a 'Sent' or 'Delivered' status next to the email address, this teacher has not activated their invitation and won't be able to manage licenses yet. Up to three Admins can be appointed (by the Owner) to manage the account but there can only be one Owner. If the Owner of the account needs to be modified, we can assist with this change, please notify us at info@classroomscreen.com.

  • Click on the purple 'Invite admin' link to enter the name and email address of the colleague you want to add as an Admin.
  • Click on the 'Trash' icon to delete an Admin from the account.
  • Click on the 'Options' menu to resend or reclaim a 'Sent' or 'Delivered' invitation.

Licenses overview

Check on the status of Pro license invitations you send to teachers in the licenses overview section. Licenses that are 'In use' are those that have been received (and activated). If you see some are listed as 'Available', they have not been activated yet and are available to either distribute or reclaim.

  • Click on the purple '+ Invite teachers' button to send Pro license invitations.
  • Click on the purple 'Add licenses' link to be directed to the 'Plan and billing' tab to manage your account.

Your organization

This list allows you to see which teachers, who received the invitations you sent, have activated their Pro licenses.

Activity

In this area, you can review how often teachers are utilizing the Pro license. One of four different indicators describes, in the 'Activity' column, the amount of time they are accessing Classroomscreen.

Search, Sort & Manage

If many teachers have joined your Organization, the search feature offers quick access to a user - just input a teacher's name. You can also sort this list by name, email address, license, or activity. If you want to take a Pro license away from a teacher, click on the 'Options' button and select 'Delete teacher from organization'. The account will then be downgraded to Basic access, and in turn, you'll gain that license back for redistribution.

Invite teachers

On this page of the dashboard, you can send invitations to teachers who you want to join the Organization.

Invite users

There are a few ways to send invitations to teachers.


Use this link to invite many users at the same time. Click on the purple 'Copy link' button and share it with multiple teachers so they can all obtain access to your Organization licenses simultaneously. Use the red 'Refresh link' button in case you want to disable access to the link you previously emailed. It's important to note that this action will not disable any Pro licenses already activated. If you notice an email address not affiliated with your Organization has occupied a Pro license, first click on the 'Delete teacher from organization' button (via the 'Home' tab, under 'Your organization'), and then use the 'Refresh link' button.

Invite by email

To provide a license via email, enter the name and email address of a teacher and then press 'Send invitation'. With this method, you will send an invitation by email to specific teachers only as it will be personal to them and can not be shared.

Send a bulk invite

This option allows you to enter all teacher emails in one location and send them together simultaneously via email. Click on the purple 'Send a bulk invite' button and then enter a list of email addresses and names, separated by a semi-colon (only one user per line). Once complete, click the purple 'Send' button.

Pending invitations

All teachers listed here have received a personal invitation by email, but they have not joined your organization yet.

Status

You can see who (via name and email address) has received a Pro license and when it was sent. If a teacher is on this list, the Pro license has been 'Sent' or 'Delivered' but not activated.

Search, Sort & Manage

If you have sent many invitations, the search feature offers quick access to a user - just input a teacher's name. You can also sort this list by name, email address, sent on, or status. If you want to nudge a teacher to activate the license, click on the 'Options' button and select 'Resend invitation'. If you want to invalidate the license link, click on the 'Options' button and select 'Reclaim invitation'.

Plan & Billing

In this tab on the Organization dashboard, you can obtain details about your account and update billing information. Modification is only permitted by the Owner of an account.

Your Plan

If you purchased the account directly online, via Stripe, it is possible to modify your plan independently. Otherwise, if you purchased the account via invoice, you can request support with a change.

Current Plan

If you see a 'Manage plan' button, you can click that to be directed to our secure payment portal Stripe to enact immediate changes (for independent purchases). If you see a purple 'Add Pro licenses' button, you can click that to notify us that you want assistance with modification of your plan (for invoice purchases).

Next billing

If your account is up for renewal and you need a new quote, click on the white 'Request a quote' button.

Billing information

The information present in this section will be used on the next invoice. You can adjust all the invoice details so we ensure the document you receive has up-to-date information.
